How enterprise content management revolutionises team collaboration
Enterprise content management (ECM) is revolutionising team collaboration by helping global teams to connect and work together easily and efficiently. Software like Kyocera Enterprise Information Manager (KEIM – launching soon) not only helps to unlock skyrocketing productivity through a centralised hub, it also keeps everything neatly organised and easily accessible day or night, 24/7. Because documents are stored in a structured, centralised location, all team members can effortlessly access the latest version of any document, image or video.
By offering workflow automation and real-time collaboration features, KEIM allows teams to edit, comment, and make changes simultaneously and seamlessly. But that’s not all that KEIM brings to the table, additional benefits include:
- Version Control. This allows teams to track changes that are made by various colleagues over time. The original, as well as concurrent versions, are saved and can be retrieved for review. It also ensures that everybody is working on the same version of a ‘live’ document that updates automatically, regardless of how many people are working on it, negating the need for multiple emails between team members. That said, document locking can be turned on to prevent conflicts.
- Access Control and Permissions. Access is detailed and granular, allowing administrators to set permission levels according to an employee’s level in the organisation, preventing unauthorised people from seeing (or sharing) sensitive company information.
- Workflow Automation. KEIM’s workflow automation capabilities help to increase productivity by eliminating the need for a human to control the repetitive task of workflow processing and freeing them up for other tasks. It also mitigates the risk of human error and streamlines business processes and collaboration. Alerts notify the relevant team members about upcoming tasks and deadlines.
- Task management and tracking. Authorised team members can assign tasks, track their progress, and set deadlines through KEIM. This enhances accountability by keeping a holistic view on who is doing what and when, and ensuring that everybody is contributing equally.
- Search and retrieval. KEIM’s advanced retrieval system allows teams to easily find documents based on keywords, metadata or content, which means no more lost files or versions of documents being misplaced.
KEIM provides essential workflow processing that ensures security and compliance to allow seamless collaboration among teams and ultimately boost their productivity and a business’ bottom line.
Look out for the launch of KEIM. Details will be shared in due course.
